# Lists and filters

> How to search, filter, group, and export an assets list.

Every list in Docusnap365 uses the same table. Four ways narrow down a
list: the search field, filter buttons, the filter dialog, and saved custom
filters — they work together, not against each other.

## Filters combine

A base filter of the page cannot be turned off. On top of it come a
selected filter button, the text search, and every active custom filter —
all combined with AND.

  Every filter change clears your current selection — including creating,
  changing, or removing a custom filter. After the change, a different set of
  rows is shown, and a previous selection is no longer checked against it.

## Text search

The search searches every filterable text and enumeration column, including
hidden ones — only internal columns without a label stay out. For an
enumeration column or a reference to another record, it searches the
display name, not the raw value.

## Custom filters

*Filter* lets you build a condition from field, comparison, and value.
Which comparisons a field offers depends on its value type:

| Duration | like number, without *between* |
| Date | *on*, *before*, *after*, *between*, *in the last … days*, *older than … days*, *is set*, *is not set* |
| Period | *is*, *is not*, *is set*, *is not set* — no *between* |
| Time | *at*, *before*, *after*, *between*, *is set*, *is not set* |
| Boolean | *Is Yes*, *Is No*, *is not set* |

The condition *in the last … days* counts calendar days including today. For
three days, that is the day before yesterday, yesterday, and today.

A custom filter you build can be named, saved, and afterward turned on and
off like a filter button.

<Note>
  A period field compares as one unit: only *is* and *is not* are available —
  two periods have no order relative to each other, only equality or
  inequality.

  A value no longer present in your inventory appears in enumerations as
  *\[Deleted]* — the condition stays readable even after its reference is
  gone.
</Note>

<Note>
  Of the page's filter buttons, only one can ever be selected; several custom
  filters, by contrast, may be active at the same time — each forms its own
  block in the AND combination.

## Changes while you work

A list updates itself while you are working in it:

| Case | What you see |
| - | - |
| a loaded row changes | it is silently updated |
| a row is added | it is inserted |
| a loaded row is deleted | it stays marked *Deleted* and loses its row action and checkbox |

## Sorting and grouping

Clicking a column header sorts it, a second click reverses the direction.
Grouping works by exactly one column at a time.

  Clicking to sort the grouping column sorts the groups themselves, not the
  rows — every row in a group carries the same value anyway.
</Note>

If the row count of an expanded group no longer matches the current count —
because your inventory has changed since — the group flags itself as
outdated and offers *Reload Group*.

## Columns and export

*View* lets you turn individual columns on and off; *Reset View* discards
column widths, visibility, and sorting together. Your settings persist per
list and user.

  *Export* does not run immediately: after starting it, a message appears,
  and the file follows through your notifications. The export always
  captures every row matching the active filter, regardless of which ones
  you checked.
