# Adding Content

> Creating and writing chapters, who may edit when, what editing an approved document costs, and how the export runs.

The *Content* tab is where you write a document's chapters. On the left is
the *Table of Contents* with the chapter structure, on the right the editor
for the selected chapter.

## Reading vs. editing

Without *Edit*, the tab is a read-only view — you can click through the table
of contents, nothing more. *Edit* brings reordering, renaming, creating and
deleting, plus the *Cancel* and *Save* buttons.

If you may not write in the *Docs* area, *Edit* and the *Settings* gear do not
appear: both are missing from the toolbar rather than disabled.

  Edit mode is not a permission: set it by hand without the right to edit, and
  the editor stays read-only.

## When you can write

Two conditions decide, in order.

**First, the status** — this applies to everyone:

| Status | Content editable? |
| - | - |
| *Draft* | yes |
| *Approved* | yes, but costs the approval |
| *In Review* | no |
| *Archived* | no |

**Second, the role** — only for a controlled document with strict mode turned
on: then only the assigned *Responsible* person may edit the content, in
either open status. Without strict mode, and for plain documents, anyone may.

<Warning>
  If no one is assigned as *Responsible*, the content is locked for everyone —
  even for whoever wrote it. A banner names the reason and points to the
  *Properties* tab, where you assign the responsible person.

If editing is disabled for another reason, the *Edit* button's tooltip names
it:

| *In Review* | Document is in review – withdraw the approval first |
| *Archived* | Document is archived – restore it first |
| no responsible person | No responsible person assigned – the content is locked for everyone |
| not the responsible person | Only the responsible person can edit the content |

<Note>
  While the document is *In Review*, the way back into editing runs through
  *Withdraw Request* on the
  [Document Control](/docs/en/documents/document-control) tab — as long as an
  approval request is open, the application rejects every change.

## Adding and arranging chapters

In edit mode:

| Action | Control |
| - | - |
| Add a chapter | *Chapter* below the list; new chapters are named *New Chapter* |
| Add a subchapter | the plus sign on a chapter row; named *New Subchapter* |
| Move | drag the handle |
| Rename | double-click the title |
| Remove a chapter | the trash icon on the chapter row |

<Note>
  At most six levels of nesting and at most ten subchapters per chapter — the
  application reports it once either limit is reached. A chapter with no
  subchapters, on the other hand, can be deleted down to the last one; the
  table of contents then shows its empty state.

<Warning>
  The trash icon on a chapter row removes only **that one chapter**. The trash
  icon in the **page header** deletes the **entire document** and closes the
  tab. The two sit close together and ask back with similar wording — check
  which confirmation you are looking at before you confirm.

## Editing costs the approval

<Warning>
  Editing an approved document means losing its approval. *Edit* therefore asks
  back first on an approved document; confirm with *Edit Anyway*, and the
  document falls back to *Draft* and needs a new approval. The approved state
  survives as a version in [History](/docs/en/documents/history).

## Unsaved changes

An edited chapter carries the hint *Unsaved Changes*. Leaving the page asks
back; if someone else changes the chapter structure in the meantime, the
application asks you to reload before saving.

<Warning>
  Save past that hint, and you overwrite the other person's chapter structure.
  Reloading only costs your own unsaved changes, not theirs. The *Content* tab
  does not reload during a state conflict — unlike the
  actions on the
  [Document Control](/docs/en/documents/document-control#when-an-action-comes-too-late)
  tab, which reload silently.

## Exporting

The download icon opens the format picker: PDF, DOCX and HTML can be checked
individually or together. The export runs in the background and lets you
know when the file is ready. The cover page, table of contents and layout
