# Editor

> Write chapters, insert and arrange blocks, format and link text, use keyboard shortcuts and save your changes.

The editor is where you write the text of a chapter. It sits on the *Content* tab
to the right of the *Table of Contents* and shows the selected chapter. Without
*Edit* you only read the chapter; with *Edit* you write in it—when that is
possible is described on the page [Content](/docs/en/documents/content).

A chapter consists of blocks stacked one below the other. Each block has a kind:
text, heading, list, table, callout, image or divider.

## Writing

In an empty line you write *Text*. For another block kind there are two ways,
both open the same block catalog:

* **`/` in an empty line.** What you type next narrows the catalog—by label and
by keyword, for example *Table* or *Image*.
* **The plus sign *Add Block*** in the left margin next to the block. In an empty
line the chosen block replaces that line; otherwise it is added below the block.

The block catalog has four groups:

| Group | Entries |
| - | - |
| *Text* | *Text*, *Heading 1*, *Heading 2*, *Heading 3* |
| *Lists* | *Unordered List*, *Ordered List*, *Checklist* |
| *Blocks* | *Table*, *Callout – Information*, *Callout – Success*, *Callout – Warning*, *Callout – Error*, *Callout – No Icon* |
| *Insert* | *Image*, *Divider* |

**Markdown shortcuts.** At the start of a line, followed by a space, these
characters convert the block at once:

| Shortcut | Becomes |
| - | - |
| `#` | heading |
| `-` | *Unordered List* |
| `1.` | *Ordered List* |
| `[]` | *Checklist* |
| `---` | *Divider* |

**Pasting Markdown.** When you paste text that looks like Markdown, the editor
reads it as Markdown and creates the matching blocks.

## Blocks

### Text and headings

A paragraph is called *Text*. Headings come in six levels. *Heading 1* to
*Heading 3* are in the block catalog; set levels 4 to 6 in the block menu under
*Convert To* › *Heading* › *Level 4* to *Level 6*.

*Ctrl+Alt+1*, *Ctrl+Alt+2* and *Ctrl+Alt+3* turn the block into *Heading 1* to
*Heading 3*; pressing the same keys again turns it back into *Text*.

### Lists

There are three list kinds: *Unordered List*, *Ordered List* and *Checklist* with
checkboxes. *Tab* indents an item one level deeper, *Shift+Tab* one level higher;
an item sits at most one level below the previous one. *Convert To* turns one list
kind into another.

### Table

A new *Table* has three rows and three columns, the first row is the *Header
Row*, and the table spans the full width.

**Header row and header column.** Switch *Header Row* and *Header Column* on and
off in the bar above the table or in the menu of the first row or column.

**Rows and columns.** When you point at a row or column, its handle appears
(*Edit Row*, *Edit Column*). Clicking it opens its menu:

| Menu entry | Where |
| - | - |
| *Alignment* › *Left*, *Center*, *Right* | column handle |
| *Header Row*, *Header Column* | handle of the first row or column |
| *Insert Row Above*, *Insert Row Below* | row handle |
| *Insert Column Left*, *Insert Column Right* | column handle |
| *Move Row Up*, *Move Row Down* | row handle, where there is a neighbouring row |
| *Move Column Left*, *Move Column Right* | column handle, where there is a neighbouring column |
| *Delete Row*, *Delete Column* | as long as the table has more than one row or column |

**Column width.** Drag the handle on the right edge of a cell.

**Merging and splitting cells.** Depending on the cell the cursor was last in, the
table's block menu offers *Merge with Right Cell*, *Merge with Cell Below* and
*Split Cell*.

**Full width.** *Full Width* in the bar above the table or in the block menu
switches between the full width and the width of the text.

### Callout

A *Callout* highlights a paragraph. It has a field for the title and paragraphs
below it, which you format like normal text. It has five states:

| State | Appearance |
| - | - |
| *Info* | blue, with icon |
| *Success* | green, with icon |
| *Warning* | yellow, with icon |
| *Error* | red, with icon |
| *No Icon* | neutral, without icon |

Choose the state in the block catalog, or later in the bar above the callout
while the cursor is in it, or in the block menu.

### Image

There are four ways to insert an image:

* *Choose Image* in the empty image block,
* drag and drop into the chapter,
* from the clipboard,
* by address in the *Address* field of the empty image block; it starts with
`http://` or `https://`. Docusnap365 takes the image over into the document.

Files up to 25 MB of the types PNG, JPEG, GIF, WebP, SVG, ICO and BMP are allowed.
The image is uploaded as soon as you insert it; the block shows the progress, and
*Save* waits until the upload is complete.

* **Caption.** Below the image is the field *Add a caption …*. The caption is also
  the image's alternative text.
* **Width.** Drag the handles on the left and right of the image; the current
width in pixels is shown next to it. An image set to *Full Width* becomes a
centred image of the dragged width.
* **Alignment.** *Align Left*, *Center*, *Align Right* or *Full Width*—in the bar
above the image or in the block menu.
* **Replacing and original.** *Replace Image* swaps the image; *Open Original*
shows a saved image at its original size.
* **Enlarging.** Without *Edit*, clicking the image enlarges it (*Enlarge Image*).

### Divider

A *Divider* is a horizontal line without content.

## Formatting and links

When you select text, the formatting bar appears above it:

| Button | Shortcut |
| - | - |
| *Convert To* | – |
| *Bold* | *Ctrl+B* |
| *Italic* | *Ctrl+I* |
| *Underline* | *Ctrl+U* |
| *Strikethrough* | *Ctrl+Shift+X* |
| *Link* | *Ctrl+K* |

There is also the line break. Pasted text keeps these five formats and the line
break from its formatting. *Ctrl+Shift+V* pastes text without any formatting.

**Link to an address.** *Link* opens the *Address* field. A link leads to an address
with `http://`, `https://` or `mailto:`; Docusnap365 completes an address without
one of these to `https://`. *Apply* or the Enter key sets the link; applying an
empty field removes it. When you point at a link, a bar appears with the address,
*Open* (in a new tab), the pencil to change it and *Remove*.

**Link into the document.** As long as the *Address* field is empty, it offers the
targets in the document: the chapters and, below them, their saved headings.
Clicking such a link offers *Jump to Heading* or *Jump to Chapter*—also into
another chapter.

If you delete a heading that a link in the same chapter points to, that link is
removed at once; the text stays. A link from another chapter shows “Target no
longer exists.” when clicked and offers *Choose a New Target*.

## Block actions

Every block has a block menu. You open it in three ways:

* by clicking the handle ⠿ in the left margin next to the block—dragging the
  handle moves the block,
* by right-clicking anywhere in the block,
* with *Shift+F10* in the block the cursor is in.

The block menu contains, in this order:

1. What belongs to the block kind: for a *Callout* the five states, for an *Image*
*Replace Image*, the four alignments and *Open Original*, for a *Table* *Full
Width* and merging and splitting cells.
2. *Convert To*—*Text*, *Heading* (*Level 1* to *Level 6*), the three list kinds
and *Callout*; for text, headings, lists and callouts.
3. *Move Up*, *Move Down*.
4. *Copy*, *Cut*, *Duplicate* and, once you have copied something, *Paste*.
5. *Insert Block Above*, *Insert Block Below*.
6. Deleting, named after the kind: *Delete Text*, *Delete Heading*, *Delete
List*, *Delete Table*, *Delete Image*, *Delete Callout*, *Delete Divider*.

**The bar above the object.** When you click into an image, a table or a callout,
a bar with that object's settings appears above it: for an image *Replace Image*,
the four alignments and *Open Original*; for a table *Header Row*, *Header Column*
and *Full Width*; for a callout the five states. *Tab* moves into the bar, *Esc*
back into the object.

**Selecting several blocks.** You select whole blocks

* by clicking the handle ⠿; *Shift+click* extends the selection,
* by right-clicking in the block,
* by dragging a frame next to the blocks across several blocks,
* with *Esc* in the text—this selects the block the cursor is in,
* with *Shift+arrow key* beyond the edge of the text,
* with *Ctrl+Shift+End* or *Ctrl+Shift+Home* up to the end or start of the
  chapter,
* with *Ctrl+A* twice—the first selects only the text of the block, the second
  every block.

Above the selected blocks the bar “{count} selected” appears with *Convert To*,
moving up and down, copying, cutting, duplicating, deleting and—after copying—
*Paste*. It changes the arrangement of the blocks, never their content.

## Undo and find

*Undo* (*Ctrl+Z*) and *Redo* (*Ctrl+Y*) are in the toolbar. They work per chapter:
a chapter's steps are kept when you switch to another chapter and end when editing
ends.

*Find and Replace*—the magnifier in the toolbar, *Ctrl+F* or *Ctrl+H*—opens the
fields *Find* and *Replace with* with *Replace* and *Replace All*. The Enter key
jumps to the next match, *Shift+Enter* to the previous one. The search covers the
open chapter: text, list items, titles and paragraphs of callouts, and table
cells.

## Headings and reading width

**Headings.** To the right of the text, the *Headings* bar lists the headings of
the open chapter, indented by level. Clicking an entry jumps to the heading. If the
chapter has no heading or the window is narrow, navigate with the *Table of
Contents*.

**Reading width.** The *Full Width* / *Reading Width* button in the toolbar
switches between the reading width of the text and the whole width of the area—
useful for chapters with wide tables, when reading as well as when editing. It
appears as soon as the area is wider than the reading width. Your browser
remembers the choice.

## Keyboard shortcuts

The question mark in the toolbar opens *Editor Tips* with the shortcuts and
gestures. The complete list:

| Shortcut | Effect |
| - | - |
| `/` | in an empty line: open the block catalog |
| `#` `-` `1.` `[]` `---` + space | at the start of a line: heading, list, numbering, checklist, divider |
| *Ctrl+Alt+1 / 2 / 3* | *Heading 1* to *Heading 3*; once more: back to *Text* |
| *Tab* / *Shift+Tab* | indent a list item one level deeper / higher |
| *Ctrl+B*, *Ctrl+I*, *Ctrl+U* | *Bold*, *Italic*, *Underline* |
| *Ctrl+Shift+X* | *Strikethrough* |
| *Ctrl+K* | *Link* |
| *Ctrl+Shift+V* | paste as plain text, without formatting |
| *Click on ⠿* | select the block and open its actions; *Shift+click* extends the selection |
| *Right-click* | open a block's actions |
| *Shift+F10* | open the actions of the block the cursor is in |
| *Click on image, table, callout* | the bar with the object's settings; *Tab* reaches it, *Esc* returns |
| *Esc* | select the block the cursor is in |
| *2 × Ctrl+A* | select every block (the first *Ctrl+A* selects only the text in the block) |
| *Ctrl+Shift+End / Home* | select up to the end / start of the chapter |
| *Alt+Shift+↑ / ↓* | move selected blocks |
| *Ctrl+C / X / V* | copy, cut, paste selected blocks |
| *Ctrl+D* | duplicate selected blocks |
| *Drag and drop* | insert an image, also from the clipboard or by address |
| *Ctrl+Z* / *Ctrl+Y* | *Undo* / *Redo* |
| *Ctrl+F* / *Ctrl+H* | find / find and replace in the chapter |
| *Ctrl+S* | save every changed chapter |
| *Ctrl+click / Shift+click in the table of contents* | select chapters; *Del* or the chapter menu deletes all selected ones |

## Saving

Docusnap365 does not save automatically. *Save* or *Ctrl+S* saves every changed
chapter of the tab at once. Switching to another chapter does not save; the chapter
you left keeps its changes until you save or cancel editing. A dot in the *Table of
Contents* marks the unsaved chapters.

Below the chapter title a line shows where the chapter stands:

| Line | Meaning |
| - | - |
| “Saving…” | the chapter is being saved |
| “Unsaved changes” | the chapter differs from the saved state |
| “Saved · just now”, “Saved · {count} minutes ago” | the chapter has been saved |
| “Chapter changed meanwhile” | someone else has saved the chapter in the meantime; next to it *Reload Chapter* |

If you write a chapter back to its saved state, it counts as saved again. When a
chapter grows very large, the notice *Large Chapter* appears above the content.

### Backup copy

Docusnap365 also keeps unsaved chapter content, newly created chapters and
renamings in your browser's storage. The next time you open the document,
Docusnap365 asks once: *Unsaved changes found*—with *Restore* or *Discard*. If
someone else has saved one of the chapters in the meantime, the question says so:
saving the restored changes replaces that state. The copy is removed as soon as
everything is saved, and when you cancel editing.

<Note>
If a chapter cannot be saved, Docusnap365 names the reason. If someone else has
saved the chapter in the meantime, your changes are kept and *Reload Chapter*
fetches the new state. If the document's status has changed or you may no longer
save the chapter, editing ends. If the chapter no longer exists, Docusnap365
reloads the chapter list. A chapter that exceeds the allowed size is not saved.
