# History

> Looking up approved versions, comparing versions, and reviewing the full approval history — including rejected and withdrawn attempts.

The *History* tab records what the
[Document Control](/docs/en/documents/document-control) tab does: which version
was approved by whom, when, and for what reason. It is available only with
document control turned on.

<Note>
  Controlled documents are included from Business on.
</Note>

<Note>
  *History* is not the *Journal*. This tab holds the **versions** of a
  document — what was approved and when. The journal on an asset or a risk is
  something else: the field-by-field change history of a record, see
  [Assets Fundamentals](/docs/en/assets/overview). Both names refer to different
  things.
</Note>

## Versions

The approved versions:

| Column | Content |
| - | - |
| *Name* | the version number |
| *Status* | *Valid* or *Superseded* |
| *Approved By* | who decided |
| *Approved On* | when |
| *Created On* | when the version came into being |
| *Comment* | if one was given |

<Note>
  The export runs in the background. If the icon is still missing shortly
  after an approval, check back later before starting the export again.
</Note>

Each row carries *Download*, but only if a finished PDF export exists for
that version.

### Valid or superseded

The *Status* column reflects the lifecycle of that one version, not the
document's status. A superseded version was once in force and has since been
replaced; the approver and approval date stay attached to it.

### A version in detail

A version's side panel carries *Created On*, *Approved On*, and, where
present, *Comment* and *Change Reason*, plus the properties that belonged to
the version: *Type*, *Classification*, *Review Interval*, *Responsible*,
*Approver*. Below that, the *Table of Contents* of the version and the text
of every chapter — a version is fully readable without touching the current
document.

<Note>
  If a version carries no name for *Responsible* or *Approver*, for example
  because the user has since been deleted, the side panel shows the current
  name, not the one at the time of approval.
</Note>

### Comparing versions

The selector at the top of the side panel lets you compare two versions —
the same view opened by *Show Changes* on the
[Document Control](/docs/en/documents/document-control#requesting-approval) tab.
It has three parts:

* *Property Changes* — one row per changed field, with both states side by
  side.
* The *Table of Contents* of both versions, with added, changed and removed
  chapters marked.
* The chapter content, side by side or stacked.

## Approval History

Below that, every approval attempt — including the ones that never produced a
version:

| Column | Content |
| - | - |
| *Version* | the requested number |
| *Status* | see below |
| *Requested By* / *Requested On* | the request |
| *Decided By* / *Decided On* | the decision, a dash if still open |

| Status | Meaning |
| - | - |
| *Pending* | in progress |
| *Approved* | accepted |
| *Rejected* | turned down, with a reason |
| *Withdrawn* | pulled back by the requester |

### An attempt in detail

An attempt's side panel carries *Approval Details* with *Status*, *Requested
By*, *Requested On*, *Decided By*, *Decided On* and, depending on what
applies, *Change Reason*, *Comment*, *Decision Comment* and *Rejection
Reason*.

<Note>
  *Comment* comes from the requester, *Decision Comment* from the approver —
  whoever reviews an approval sees both sides separately.
</Note>

## Versions and approval history

A rejected or withdrawn request produces no version. The version list shows
what applies and applied. Whether a document was rejected the first time, for
what reason, and how long approval took is shown only in the approval
history.
