# Properties

> Setting the type, classification, review interval and the Responsible and Approver roles of a controlled document.

Only a controlled document carries the document control fields on the
*Properties* tab; an uncontrolled document shows just its *Title* there. For a
controlled document, you set the type, classification and review interval here
and assign the two roles, *Responsible* and *Approver*.

## Fields

The *Information* section carries the document's *Title*. The *Settings*
section appears only for a controlled document:

| Field | Content |
| - | - |
| *Number* | the document's identifier; Docusnap365 assigns it, and it is read-only. The document list calls it *Document Number* |
| *Type* | *Policy*, *Process*, *Work Instruction*, *Plan* or *Documentation* |
| *Classification* | *Public*, *Internal*, *Confidential* or *Strictly Confidential* |
| *Review Interval* | in months, twelve months if left blank |
| *Responsible* | the user who owns the document |
| *Approver* | the user who decides on the approval |

The *Review Interval* and the last approval determine the next review date,
see [Document Control](/docs/en/documents/document-control#the-review-cycle).

## Responsible and Approver

In both fields you find the user by typing; only active users can be
selected. A *Responsible* person is always required. What applies to the
*Approver* depends on the *Strict Mode* setting for the whole subscription,
see [Set Strict Mode for Documents](/docs/en/settings/documents-settings):

| | Under strict mode | Without strict mode |
| - | - | - |
| *Approver* | required | optional |
| Approver and responsible person | different people (four-eyes principle) | may be the same person |
| Editing the content | only the responsible person | anyone with write permission in the *Docs* area |
| Deciding on approval | only the approver | anyone with write permission in the *Docs* area |

Without strict mode, the banner *The four-eyes principle is not in force.*
appears above the *Settings* section.

If no responsible person is assigned under strict mode, the
[content](/docs/en/documents/content#when-you-can-write) is locked for everyone.
Anyone who may write in the *Docs* area can assign the responsible person
here.

If the assigned responsible person or approver can no longer be assigned—for
example because their account was deactivated—the field shows no value in
edit mode. A warning below the field names the previous entry, and the next
save removes it.

## Editing

The pencil icon starts edit mode for the whole tab; the *Editing Properties*
bar carries *Discard* and *Save*. The hint *Unsaved Changes* shows open
changes. Anyone who may write in the *Docs* area sees the pencil icon,
regardless of their role on the document.

Docusnap365 checks the roles when you save: if a required field is empty, the
save stops and names the field. If the approver and the responsible person are
the same user under strict mode, Docusnap365 reports it as soon as you select
them.

### Approval on save

On an approved document, *Save* asks back with *Approval Will Be Lost* as soon
as you have changed one of these fields: *Title*, *Type*, *Classification*,
*Review Interval*, *Responsible* or *Approver*. Confirming sets the document
back to *Draft*, and it needs a new approval. If you cancel the confirmation,
your changes stay open in edit mode.

## Status In Review

The tab can be edited in the *Draft* and *Approved* statuses. In *In Review*
and *Archived*, the whole tab is locked, including both roles.

<Note>
To change the approver or the responsible person during a pending review,
  withdraw the request, see
  [Document Control](/docs/en/documents/document-control#withdrawing). The document
  then returns to *Draft*.
