# ITAM Reference

> Status values, cost types and categories, criticality levels, and terms of the ITAM module.

## Core Fields

*Lifecycle Phase* · *Asset Owner* · *Technical Owner* · *Criticality* ·
*Commission Date* · *End of Life* · *End of Service*

*End of Life* and *End of Service* carry the option *Not assessable –
excluded from completeness* and then drop out of the counter and the total.

## Validation Status

| Value | Meaning |

| never requested | initial state; *Completeness* shows *Not Edited* as long as no core field is set |
| *Due* | request possible once 100 % completeness is reached |
| *Requested* | confirmation outstanding |
| *Overdue* | confirmation not given in time |
| *Rejected* | turned down, with a reason |
| *Validated* | completed, with date, person, and next due date |

Progress on the asset: *Due* → *Requested* → *Validated*. Actions per status:
*Request*, *Validate* / *Reject*, *Revoke Rejection*, *Request Again*.

## Rejection Reasons

*No Longer Responsible* (preselected) · *Asset Not Found* · *Data Incorrect*
· *Other* (with free text)

## Criticality

Clicking the already selected level clears the selection.

## Lifecycle Phases

*Planning* → *Procurement* → *Deployment* → *Operation* → *Change* →
*Decommission*

Switching to *Decommission*, and every backward change, require a
justification in the *Phase Change* field; a forward change does not.

## Warranty Status

## Billing Cycle of a Position

*Monthly* or *Yearly*, mandatory for recurring costs, together with an end
date. One-off costs carry *One-time*. For positions that cannot be assigned,
the column shows *Overhead* instead.

## Useful Life

3, 4, 5, 7, 10, or 15 years.

## Billing Periods

An assignment acts on all future periods that are not yet finalized.

## Settings That Affect ITAM

## Terms

**ITAM Hub** — The module surface under *ITAM*.

**Completeness** — Share of filled core fields. Determines whether a
validation can be requested.

**Cost Entry** — The record under ITAM › *Manage Costs*: header data and one
or more positions. Only positions carry amounts.

**Position** — Amount, quantity, term, and unit of a cost entry. Only
positions can be assigned to devices or users. Changeable afterwards are
only *Name*, *Supplier*, *Notice Period*, and — with restrictions — the end
date.

**Billing Period** — A month that Docusnap365 generates from the positions;
the basis for assignment.

**Journal Entry** — A single booked record of a position within a billing
period.

**Assignment** — The link between an asset and a position within a billing
period.

**Overhead** — A position that cannot be assigned; it cannot be attributed
to a single asset.

**Free** — A position's quantity minus the assigned units. The value
can become negative when more has been assigned than exists.

**Coverage** — An individual item of a warranty with a description, *Valid
From*, and *Valid Until*. A warranty's term is the span across all
coverages.
