# Subscription and Invoices

> Check usage limits, buy more quota, change the edition, download invoices, and cancel the subscription.

Under *Administration › Subscription* you see your subscription's edition, the
usage against its usage limits, and the invoice history. From here you change
the edition, buy more quota, change the payment method, and cancel the
subscription.

## Usage Limits

| Usage limit | Display |

| *Users* | occupied seats and the edition's limit |
| *Storage* | used storage and the limit, for example "8.4 / 20 GB" |
| *AI Credits* | used share of the included quota, as a percentage |
| *API & MCP Requests* | used share of the included quota, as a percentage |

If a limit shows "Unlimited", no limit applies to that usage limit. A dash (–)
means that the usage could not be determined or that the subscription includes
no quota for it — not that nothing has been used.

<Note>
  If a temporary storage increase is currently running for your subscription,
  *Storage* already shows the increased limit without marking it as temporary.

## Buying More Quota

*AI Credits* and *API & MCP Requests* carry the *Buy More* button. It opens the
purchase for exactly this quota. A purchased share appears in the tile as a
separate *Purchased* block with its own usage.

*Buy More* remains available after a cancellation, because the quota applies
until the end of the term. In the Enterprise edition and on an ended
subscription, the button is not shown. *Users* and *Storage* cannot be
purchased here.

## Subscription ID

The *Subscription ID* appears below the company name.

  The *Subscription ID* is the value Docusnap support asks for. Copy it with the
  copy icon next to it before you open a ticket.

## Renaming the Subscription

The pencil icon next to the subscription name is available to the *Owner* and
*Administrator* roles. The name appears in the header and in the subscription
picker.

## Changing the Edition

*Change Edition* is available to every role as long as the edition is not
Enterprise, no cancellation is pending, and the subscription has not ended. The
button opens the dialog for changing the edition; that dialog checks whether you
may purchase.

If a change to a cheaper edition or a smaller package is scheduled for the end
of the term, the *Next Invoice* tile shows the date of the change and its target
("Change to …"). *Withdraw Change* takes back the scheduled change; the
subscription stays on the current edition. It can take a few minutes until the
page shows the new state.

## Changing the Payment Method

*Change Payment Method* appears only if the subscription's payment method can be
changed here. With billing through a partner or by invoice, the button is not
shown, nor is it shown without the required role.

## Next Invoice

The *Next Invoice* tile shows the next billing date and the amount per billing
period, for example per *month* or *year*, each "excl. VAT". For a free
subscription, the tile is not shown.

  For a purchase through a partner, or without the role that may see the amount,
  both the *Next Invoice* tile and the entire *Invoice History* are not shown.

## Invoice History

Each row of the table is one document, with *Invoice* (number), *Type*,
*Date*, *Amount*, and *Status* (*Paid* or *Open*). A *Credit Note* is a row of
its own with its own number, amount, and date.

<Note>
  *Status* stays empty for a credit note and for an invoice without payment
  information. An empty *Status* does not mean *Open*. The currency applies per
  document, not per subscription.

*Download* is available on each row that has a document and saves the file as a
PDF under the document number.

For a free subscription, the invoice history is not shown unless invoices
exist.

## Canceling the Subscription

The *Cancellation* section at the bottom of the page states the end of the
current term and carries the *Cancel Subscription* button. The subscription
ends at the end of the paid term and is not billed afterwards. Until then, all
features and data remain available.

  After the end of the term, the subscription's data is deleted. The
  *Cancellation* section states how long the data is retained afterwards, or on
  which date it is deleted.

After the cancellation, the subscription carries the *Cancelled* badge, the
*Expires On* tile shows the end of the term, and *Change Edition* is no longer
shown. Until the end of the term, *Withdraw Cancellation* takes the cancellation
back; the subscription then continues unchanged and *Change Edition* is
available again. A cancellation and a withdrawal take a few minutes until the
page shows the new state.

  If an edition change is scheduled at the same time, the withdrawal applies to
  the change: the page then offers *Withdraw Change* at the top, and *Withdraw
  Cancellation* is not shown.

If *Cancel Subscription* is missing, the subscription cannot be canceled on this
page; the page gives no reason. For a free subscription, the *Cancellation*
section is not shown.

Once the subscription has ended, it carries the *Ended* badge. The
*Cancellation* section then states until which date reactivation is possible, if
a deadline applies.
