# Users and Roles

> Invite users, assign roles, and reduce module access per module.

Under *Administration › Users* you determine which users have access and which
rights they hold in the individual modules.

## Roles

| Role | Rights |
| - | - |
| *Owner* | Full access including billing. Exactly one per subscription. |
| *Administrator* | Full access, manage users. |
| *Contributor* | Create and edit data in assigned modules. |
| *Viewer* | Read-only access in assigned modules. |

The *Owner* and *Administrator* roles can invite users, change roles, and remove
users. An administrator cannot change an owner's role. No user can change their
own role.

  The count next to *Invite* shows the occupied user seats and the edition's
  limit, regardless of search and filter. Only active users count; Docusnap
  support accounts do not occupy a seat.

## Module Access

The role sets the rights for every module. For *Contributor* and *Viewer*, you
can reduce the *Module Access* in individual modules. Extending it is not
possible.

The selection list per module shows the role's value with the addition
"(inherited)", and below it the reduced levels. For *Owner* and *Administrator*,
the value is fixed.

  The list shows only the modules your edition includes. Example: to withhold
  costs from a contributor, set the ITAM module to *Viewer*.

<Warning>
  ITAM manages the assets of the inventory. If ITAM is set above *No Access* while
  the inventory is set to *No Access*, ITAM cannot be used fully; a red warning
  icon after ITAM indicates this. Give the inventory at least *Viewer*.

If at least one module deviates from the role, the user list shows *Individual*
instead of the role. *Reset* and the number of deviating modules appear above
the module list. Below the module list, the panel states how many of the
available modules the user can access.

## Effect of Missing Rights

| Situation | Effect |
| - | - |
| Module set to *No Access* | The module stays in the menu; instead of the content, *No Access to This Area* appears with the note that an administrator can grant the right. |
| Module set to *Viewer* | Buttons for creating, editing, and deleting are not shown. |
| Role *Contributor* or *Viewer* | *Administration* does not open; the call leads back to the home page. |

## Changing a Role

<Warning>
  When the role changes, deviations that match or exceed the new role are
  removed. No confirmation appears.

  * A *Viewer* with *No Access* in one module becomes a *Contributor*: the
    deviation remains.
  * A *Contributor* with *Viewer* in one module becomes a *Viewer*: the deviation
    is removed.

  A change to *Owner* or *Administrator* sets all modules to full access. Check the
  module list after every role change.

## Inviting a User

*Invite* requires *Email*, *First Name*, *Last Name*, and *Role*. For
*Contributor* and *Viewer*, you can set the *Module Access* directly in the
invitation.

  When all user seats are occupied, *Invite* is locked. The limit is shown under

## Removing a User

*Remove* in the side panel shows a confirmation. Once you confirm, the user
loses access immediately and their seat becomes free.
