Controlled documents are included from Business on.
History is not the Journal. This tab holds the versions of a
document — what was approved and when. The journal on an asset or a risk is
something else: the field-by-field change history of a record, see
Assets Fundamentals. Both names refer to different
things.
Versions
The approved versions:The export runs in the background. If the icon is still missing shortly
after an approval, check back later before starting the export again.
Valid or superseded
The Status column reflects the lifecycle of that one version, not the document’s status. A superseded version was once in force and has since been replaced; the approver and approval date stay attached to it.A version in detail
A version’s side panel carries Created On, Approved On, and, where present, Comment and Change Reason, plus the properties that belonged to the version: Type, Classification, Review Interval, Responsible, Approver. Below that, the Table of Contents of the version and the text of every chapter — a version is fully readable without touching the current document. If a version carries no name for Responsible or Approver, for example
because the user has since been deleted, the side panel shows the current
name, not the one at the time of approval.
Comparing versions
The selector at the top of the side panel lets you compare two versions — the same view opened by Show Changes on the Document Control tab. It has three parts:- Property Changes — one row per changed field, with both states side by side.
- The Table of Contents of both versions, with added, changed and removed chapters marked.
- The chapter content, side by side or stacked.
Approval History
Below that, every approval attempt — including the ones that never produced a version:An attempt in detail
An attempt’s side panel carries Approval Details with Status, Requested By, Requested On, Decided By, Decided On and, depending on what applies, Change Reason, Comment, Decision Comment and Rejection Reason.Comment comes from the requester, Decision Comment from the approver —
whoever reviews an approval sees both sides separately.
