Only a controlled document carries the document control fields on the Properties tab; an uncontrolled document shows just its Title there. For a controlled document, you set the type, classification and review interval here and assign the two roles, Responsible and Approver.

Fields

The Information section carries the document’s Title. The Settings section appears only for a controlled document: The Review Interval and the last approval determine the next review date, see Document Control.

Responsible and Approver

In both fields you find the user by typing; only active users can be selected. A Responsible person is always required. What applies to the Approver depends on the Strict Mode setting for the whole subscription, see Set Strict Mode for Documents: Without strict mode, the banner The four-eyes principle is not in force. appears above the Settings section. If no responsible person is assigned under strict mode, the content is locked for everyone. Anyone who may write in the Docs area can assign the responsible person here. If the assigned responsible person or approver can no longer be assigned—for example because their account was deactivated—the field shows no value in edit mode. A warning below the field names the previous entry, and the next save removes it.

Editing

The pencil icon starts edit mode for the whole tab; the Editing Properties bar carries Discard and Save. The hint Unsaved Changes shows open changes. Anyone who may write in the Docs area sees the pencil icon, regardless of their role on the document. Docusnap365 checks the roles when you save: if a required field is empty, the save stops and names the field. If the approver and the responsible person are the same user under strict mode, Docusnap365 reports it as soon as you select them.

Approval on save

On an approved document, Save asks back with Approval Will Be Lost as soon as you have changed one of these fields: Title, Type, Classification, Review Interval, Responsible or Approver. Confirming sets the document back to Draft, and it needs a new approval. If you cancel the confirmation, your changes stay open in edit mode.

Status In Review

The tab can be edited in the Draft and Approved statuses. In In Review and Archived, the whole tab is locked, including both roles.
To change the approver or the responsible person during a pending review, withdraw the request, see Document Control. The document then returns to Draft.
