POLAR Cutting Technologies GmbH

POLAR Cutting Technologies GmbH looks back on more than a century of history. Since its founding in 1906, the medium-sized mechanical engineering company with around 250 employees has developed into a leading manufacturer of industrial cutting machines. Approximately 80 to 100 servers and around 250 clients form the core of the company’s IT infrastructure, which is managed by a dedicated two-person team – Ivana Gajic and Joshua Brandt. Their mission: to keep systems running smoothly, maintain hardware and software, provide first-level support, and continuously develop the IT landscape.

When spreadsheets reach their limits

Before the introduction of Docusnap, POLAR used a combination of Excel spreadsheets and Matrix42 for IT documentation and software distribution. However, a centralized view of installations, versions, and licenses was entirely lacking. This lack of transparency, especially in software inventory, often led to unnecessary and cumbersome follow-up questions for colleagues, long search times, and a high risk of overlooking installations or license renewals.

A friendly IT colleague brought Docusnap to the team‘s attention. After attending a free webinar, it became clear that the software offered more than just inventory capabilities. Ivana Gajic, IT Administrator, summarizes the first impressions: “The level of detail in the reports was impressive.” What ultimately convinced the team was the ability to schedule scans and consolidate results in reports, exactly the features missing from their previous toolkit.

Implementation and daily use of Docusnap

The introduction of the new software went smoothly. The IT team provided a suitable server and, with the help of an external IT colleague, installed Docusnap. After successful configuration, they were able to begin inventorying immediately. “No adjustments were needed; the standards fit right away,” says Gajic. The automated scans continuously deliver up-to-date network data. With over 200 automatically generated reports, Docusnap provided a comprehensive and detailed analysis of the IT environment. “By using Docusnap, we were able to reduce our work time for IT inventory and documentation by about half,” the team happily reports. “The necessary information can now easily be retrieved from various reports. No more long searches,” adds Joshua Brandt, IT and Network Administrator.

Wholehearted recommendation

Docusnap has been running productively for about a year and has since become an indispensable tool. Thanks to automated inventory, meaningful analyses, and an intuitive interface, what used to be a tedious obligation has become a manageable, data-driven process. Docusnap lays the foundation for well-informed decisions, significantly reduces manual effort, and enables the IT department to focus on its core tasks – ensuring smooth day-to-day IT operations.

“We would recommend Docusnap at any time. The software delivers detailed reports, is self-explanatory, and everything can be accessed with ease,” summarizes Gajic. In the future, the team plans to expand the use of Docusnap step by step – for instance, by utilizing advanced license reports, IT emergency planning, and more.
