Bauer Gruppe

For a long time, the Bauer Group's IT department documented its environment in scattered Excel files across network drives and Teams channels. Finding information was tedious, and its accuracy could not be guaranteed. With Docusnap, the team now has a centralized, up-to-the-minute documentation system, uses Docusnap Connect to quickly analyze the captured data, and is well-prepared for audits.

From Excel searches to centralized IT documentation

How the Bauer Group's IT department transformed years of accumulated knowledge, previously scattered across various files, into up-to-date, transparent documentation.

Documentation that had to be hunted down

Based in Wasserburg am Inn, the Bauer Group is a fifth-generation family business that produces dairy and food products. It is not just the company that has grown over the years, but its IT infrastructure as well: around 300 servers, 1,000 clients, and five locations, all managed by a ten-person team.

For a long time, this environment was documented in Excel files. These were scattered across network drives and Teams channels. Anyone needing specific information often had to hunt it down first, never quite sure if it was still accurate.

Several attempts to centralize the documentation and introduce a unified concept met with limited success. The core problem remained: knowledge was trapped in individual files and in the minds of specific colleagues.

A colleague's tip, then a test of their own

The team became aware of Docusnap through a recommendation. A colleague had used the software at a previous job and suggested it. Rather than relying solely on that, the IT team installed a trial version and tested it against their own environment. Two factors were decisive: documentation that updates itself continuously and the ability to quickly analyze data using Docusnap Connect.

Onboarding instead of going it alone

Docusnap version 14 has been in use since April 2026, starting at the Wasserburg site. The software inventories the IT environment automatically and without the need for installed agents, with regular scans keeping the documentation up to date. To get started, the team booked an onboarding session with Docusnap experts.

This is exactly the path that Martin Mergler and Alexander Thaller from the Bauer Group's IT department would recommend to others: "I would definitely recommend Docusnap. And I advise taking advantage of the onboarding; the support during setup was very helpful." The implementation followed established best practices, so no major adjustments were necessary.

Reports at the touch of a button

In everyday operations, one module in particular saves time: Docusnap Connect. "The ease with which I can quickly export reports from the inventoried device data is a real time-saver," says Mergler. Where figures used to be laboriously gathered from various sources, a simple query of the existing data is all it takes today.

Knowledge that is no longer just in someone's head

A second benefit concerns the knowledge itself. What used to be the experience of individual colleagues is now clearly documented and accessible. "New knowledge is now traceable and transparent, no longer just locked away in a colleague's head," Mergler says, describing the change. For a company where systems have evolved over many years, this pays off especially when someone leaves the team or new colleagues are being onboarded.

A reliable foundation for audits

As a food manufacturer, the Bauer Group regularly deals with audits: customer audits, customs, cybersecurity requirements, internal ISO certification, and financial audits. In all these situations, up-to-date IT documentation is the foundation for providing evidence quickly. Reports from Docusnap support preparation for these appointments and also create greater transparency with regard to requirements such as NIS-2.

Reliable support

The team also rates the collaboration with support positively. "Every one of my support tickets was answered in a short time, and my issues were always resolved," says Mergler. Requests don't sit idle; they lead to a solution.

Outlook

At the Wasserburg site, Docusnap is now an integral part of daily IT operations. Scattered Excel lists have been replaced by a central, daily updated database: with fast reporting, transparent and independent knowledge, and a reliable foundation for audits. A foundation the team can count on, both in day-to-day business and during audits.
