IT Asset Discovery: Find Every Asset, Keep It Current

Docusnap365 scans your entire IT environment without agents and feeds the results straight into a central CMDB.

What is IT asset discovery?

Devices, software, services: discovered automatically, documented centrally

IT asset discovery is the automated detection of every device, application and service within an IT environment. Docusnap365 uses a locally installed gateway that scans systems via WMI, SSH and SNMP without deploying agents. The results flow directly into a central CMDB that also supports documentation, vulnerability management and IT asset management.

The larger your environment grows, the more you need an inventory that keeps up on its own. Docusnap365 makes IT asset discovery part of a broader IT inventory and keeps the recorded estate current with every scan.

Manual IT tracking: where the effort outgrows the team

You can document ten servers in a spreadsheet. At 300 systems, multiple sites and a growing cloud footprint, that becomes a full-time job.

Every round takes longer

Each new site, platform or cloud service adds time to the manual cycle. At some point the inventory no longer fits into a sprint or a Friday afternoon.

Yesterday's data

Between two collection rounds, systems are added, configurations change and VMs are spun up or decommissioned. The spreadsheet always shows last week's picture.

Three tools, three versions of the truth

Assets in Excel, network maps in Visio, licence records in yet another file. When a security incident demands the full picture, someone has to piece it together by hand.

Three steps to a complete inventory

How IT asset discovery works with Docusnap365

Step 1

Install the gateway

The Docusnap Enterprise Gateway (DEG) is set up once in your local environment. It communicates with your Docusnap365 cloud instance over an outbound HTTPS connection. No inbound connections or open firewall ports required.

Step 2

Configure and schedule scans

Pick from more than 25 inventory modules and set the schedule: daily, weekly or custom. Each module can run on its own cycle.

Step 3

Use the results in the CMDB

Scan results are transferred automatically into your CMDB. From there they are ready for IT documentation, permissions analysis, vulnerability matching and IT asset management.

Module coverage

What Docusnap365 discovers across your environment

More than 25 inventory modules cover on-premises and cloud systems alike. Every module is included in every Docusnap365 licence.

Servers and clients

Windows, Linux and macOS: hardware, installed software, services and network configuration.

Network devices

Switches, routers, wireless access points and printers via SNMPv1/v2/v3. Cisco Meraki devices through the Meraki API.

Virtualisation

VMware (ESXi, vCenter), Hyper-V, Nutanix and Proxmox: VMs, hosts, datastores and snapshots.

Cloud and Microsoft 365

Users, licences, groups, Teams, SharePoint and Exchange Online. Managed devices and compliance policies via Microsoft Intune.

Databases

Microsoft SQL Server, MySQL and Oracle: instances, schemas, permissions and configurations.

Directory services and permissions

Active Directory with users, groups, OUs, GPOs and trust relationships. NTFS permission structures at file and folder level.

One data foundation, many uses

What builds on the discovery

Every scan result lands in one shared CMDB. Credentials stay in the local gateway, and the architecture scales across any number of sites and security zones. Four further modules work on that foundation:

IT documentation and CMDB

Topology maps, network diagrams and dependency views, generated from the discovered data and refreshed with every scan.

Network documentation

IP scans, DHCP scopes, DNS zones and SNMP queries combine into a complete picture of the network infrastructure.

Vulnerability management

Automated CVE matching against the inventoried estate. Only hits that actually affect installed software and versions are shown.

IT asset management

Lifecycle, costs, warranty status and licence overview: all built on the data foundation that starts with discovery.

Questions to the CMDB

Query the discovered estate in plain language

Whatever the discovery has recorded can be asked directly: no report export, no chains of filters.

Which devices are new since the last scan?

14 new systems since last night's scan: nine clients, three virtual servers and two access points at the Nuremberg site.

Which network devices no longer respond to SNMP?

Six devices: four switches and two printers. Five of them were still reachable in the previous scan.

How many reachable hosts are not inventoried?

23 hosts from the IP scan without inventory data. 17 are missing credentials, six refuse the WMI query.

What is running in our VMware environment?

Four ESXi hosts running 86 VMs, eleven of them powered off. Two datastores are above 90 percent utilisation.

Which Microsoft 365 licences are unused?

31 assigned licences with no sign-in in the past 60 days, mostly Business Premium.

Common questions about IT asset discovery with Docusnap365

What exactly does an IT asset discovery tool find?

An IT asset discovery tool automatically identifies every device, application and service in an IT environment. Docusnap365 covers servers, clients, network devices, virtual machines, cloud services such as Microsoft 365 and databases. The discovery captures hardware, installed software, network configurations and dependencies between systems.

How does agentless discovery work?

Docusnap365 uses standard protocols: WMI for Windows systems, SSH for Linux and macOS, and SNMP for network devices. The locally installed Docusnap Enterprise Gateway (DEG) runs the scans and transfers the results to the cloud CMDB over HTTPS. Nothing is installed on the target systems themselves.

Which network devices does the discovery cover?

Docusnap365 discovers switches, routers, wireless access points and printers via SNMPv1, v2 and v3. Cisco Meraki devices are captured through the Meraki API. IP scans additionally identify all reachable hosts on the network, regardless of device type.

Are credentials protected during discovery?

Yes. All credentials remain exclusively in the locally installed Docusnap Enterprise Gateway. They are never transmitted to the cloud. Communication between the gateway and the cloud runs exclusively over an outbound HTTPS connection. No inbound connections or open firewall ports are needed.

Can Docusnap365 discover cloud environments such as Microsoft 365?

Docusnap365 inventories Microsoft 365 environments in full: users, licences, groups, Teams, SharePoint sites and Exchange Online. Microsoft Intune adds managed devices and compliance policies to the picture. All cloud data ends up in the same CMDB as on-premises systems.

How often should a discovery scan run?

That depends on how dynamic your environment is. Docusnap365 lets you set flexible schedules per module: Active Directory scans can run daily, more extensive hardware inventories weekly. Each of the 25-plus modules can be scheduled individually so the scan cycle matches the rate of change.
